Deerheart Collective

As the name suggests Deerheart consists of five local tattoo artists who work from an open plan studio that also includes a separate room for a local barber that welcomes all ages.

The talents of all those involved in Deerheart were in high demand and the waiting list for customers was edging closer to a year so Amy made the decision to relocate the business to bigger premises on London Road South Lowestoft, just near the towns famous Bascule bridge.

Amy was using the services of a local bookkeeper to help her keep track of the everyday income and expenses, then at the end of the financial year, used a local accountancy firm to take care of the bookkeeping work and filing her personal tax return. Making the move to new, bigger premises was a big decision for Amy and although she was happy with her current bookkeeper, she felt she needed additional business support to help her take the business to the next level.

Amy was introduced to us by her admin assistant Lilla, who also happens to be the daughter of our company director, Glenn.

When we first met with Amy it was clear she needed help with many aspects of the business from marketing to the overall structure of the business.

We agreed to meet for a coffee and listened to her concerns and agreed on implementing some simple solutions that would improve the way the studio operated.

Along with business support, Amy also asked us to upgrade her accounting and record-keeping system, Amy was currently using spreadsheets to keep track of her income and expenses which were not producing any long-term benefits in terms of financial reports to gauge how well the business was performing. Amy decided to switch from this traditional method to an online cloud accounting which utilized our monthly accounting packages that provides her with the data she needed to assist with business growth.

We got to work on migrating the current data to the new system and now Amy can track her business finances on the go, produce sales invoices and update her business expenses using Receipt Bank, a mobile phone apps. Amy now spends less time on paperwork and more time doing what she loves.

With very little experience of running a business, Amy asked us for ongoing mentoring support as she felt this will help her make better business decisions. This is still ongoing and we have witnessed first-hand the improvements Amy is making and she is developing into quite the businesswoman and her business is all the better for it.

Amazon Gym

Tom Bushell, the manager of Amazon Gym in Shropham, approached us when he was given a fantastic opportunity. The business, then run by Amazon Leisure, was changing direction and needed someone new in charge, so Tom put together a business plan and contacted us having been recommended by a friend.

Plain speaking business advice.

The first thing we did was look at Tom’s proposal and began the process of perfecting the plan to help him take over the gym. Over several meetings, we took elements of the proposal and discussed ways of improving it, and we talked Tom through what he would need to consider in running his own business. This included his options regarding legal and trading statuses, explaining the different types of tax he would be exposed to and how to go about recruiting and paying his employees. This left Tom more knowledgeable and with a stronger proposal.

‘Aldous and Saunders are more than accountants,’ says Tom. ‘They give you more in-depth services, offering business guidance and financial advice. His bid was accepted and Amazon Gym was his.

A company is born!

But that isn’t the end of the story, before Amazon Gym could be his, Tom needed to register and set up his new business. We discussed the decision to make Amazon Gym a limited company and, with Tom’s approval, we started the process of registering the new company and outlining his new responsibilities a director.

Once we’d registered Amazon Gym, we added Tom as a new director and we also registered the company for payroll, company taxes, and offered guidance in setting up his new business bank account.

Now that the company was trading, we got down to the business of addressing the company accounts. Tom agreed to use our cloud based accounting option which allows both him and us to keep up-to-date records quickly and easily using a mobile phone app and an online cloud accounting system. All Tom needed to do is was send us his monthly earnings and refresh his bank feed allowing us to organise it in the system and ensure his taxes are correct and paid on time.

Choosing the right Accounts package.

Tom chose a cloud based accounting system because it’s ‘paperless, more efficient and frees up your time’. He says he particularly finds it useful when ‘out and about, you can scan (the receipt) straight away, so you won’t lose it.’ All Tom has to do is scan his receipts using the Receipt Bank App on his phone, we then add it to his cloud accounting software and work out his VAT on a quarterly basis, taking away all the hassle.

Now Tom can concentrate on running the business while remaining in full financial control. On top of all of that, we secured a four figure VAT rebate for Tom on the company’s start up purchases.
